Emissions tracking software · for operations teams

Emissions tracking software: fuel, refrigerants and process gases, site by site

Emissions tracking software follows the greenhouse gases a site releases — fuel burned, refrigerant leaked and process gases — gas by gas, through the year.

It is the operations end of carbon reporting: the place where Scope 1 is made, and where UK law already asks for records such as F-gas leak checks.

For tracking a carbon figure from bills, closing periods and real-time data, see carbon emissions tracking software.

Scope 1

What does emissions tracking software track? Four sources of Scope 1

The GHG Protocol Corporate Standard sorts direct emissions into four sources: stationary combustion, mobile combustion, process emissions and fugitive emissions.

Bills capture the first two reasonably well; the last two come from operational records that a finance-led carbon tool rarely sees.

That is the gap emissions tracking software fills: each source, each gas, from the record where it starts.

  1. 1

    Stationary combustion

Boilers, furnaces, generators, CHP: fuel by meter or delivery.

  2. 2

    Mobile combustion

Owned vehicles and plant: litres from fuel cards.

  3. 3

    Process emissions

Gases from chemical or physical processes, not combustion.

  4. 4

    Fugitive emissions

Leaks: refrigerant, SF6 in switchgear, methane.

The gases

Which gases must it convert? Seven, not just CO2

The Corporate Standard as amended in 2013 covers seven gases, and each is converted to CO2 equivalent with a global warming potential.

A tool should keep the gas quantity, the GWP and its source table, not only the CO2e result, so a change of table can be explained.

The DESNZ 2026 conversion factors include refrigerant and process-gas rows for UK reporters.

What does F-gas law already make you record? Leak checks and five-year records

Great Britain. Source: Regulation (EU) No 517/2014, Article 4(3), as retained.
Equipment charge (tCO2e)Leak check at least everyWith leak detection
5 to under 5012 months24 months
50 to under 5006 months12 months
500 or more3 months6 months

In Great Britain an operator of stationary refrigeration, air conditioning, heat pumps or fire protection holding 5 tonnes CO2e or more of F-gas must have it leak-checked (Article 4).

For each such item it keeps records of the gas installed, the quantities added — including “due to leakage” — and the dates and results of checks, for at least five years (Article 6).

Those records are the raw data for fugitive Scope 1, so a tool that reads them avoids a second, guessed leakage figure.

Northern Ireland follows the EU regime under the Windsor Framework, so these GB thresholds should not be applied there.

One site, run through

What does a cold-chain site need to track? A labelled case

Fenland Fresh Ltd is an illustrative food packer with cold stores and a refrigerated fleet.

Its bills show gas and diesel, but its chillers and truck refrigeration units sit under the GB leak-check duty, and every top-up is a fugitive emission.

A bill-based carbon tool would miss those top-ups; an emissions tracking tool that reads the engineer’s records would not.

Site regimes

Which UK regimes ask for site emissions data? Three, beside corporate reporting

UK ETS

Environmental permits

England and WalesEPR 2016; Pollution Inventory by notice

F-gas

Five yearsRecords per item of equipment, GB

A UK ETS installation submits a verified emissions report for the calendar year by 31 March and surrenders allowances by 30 April (DESNZ), with a penalty for excess emissions under article 52.

Permitted sites in England and Wales report releases to the Pollution Inventory when the regulator serves notice under regulation 61 of the 2016 Regulations.

Those are site regimes with their own monitoring rules; corporate figures for SECR or UK SRS S2 sit on top of the same data. The UK ETS software guide covers the trading scheme in full.

Your gap

Where is your emissions data weakest? Find the layer

Three questions beside this text find whether your problem is data, measurement or disclosure.

For most operations teams it is data: the leak-check sheets and process logs exist, but not in a form a carbon tool reads.

Which layer is your problem?

Do you hold meter, fuel and travel data for every entity in your boundary, by site and month?

Three yes/no questions; the first “no” decides.

Frequently asked

Emissions tracking software, answered

What is emissions tracking software?

Software that tracks the greenhouse gases a site releases — fuel burned in boilers and vehicles, refrigerant leaked from cooling equipment and gases from industrial processes — gas by gas, through the year.

How is emissions tracking different from carbon tracking?

Carbon tracking usually starts from bills and gives one CO2e figure.

Emissions tracking starts from the site: each Scope 1 source, each gas, and the operational records behind them, such as F-gas leak checks.

What are the four sources of Scope 1 emissions?

The GHG Protocol names stationary combustion, mobile combustion, process emissions and fugitive emissions, which include equipment leaks such as refrigerant.

Does emissions tracking software need to cover refrigerants?

If you operate cooling equipment, yes.

Refrigerant leaks are fugitive Scope 1 emissions, and in Great Britain operators of equipment holding 5 tonnes CO2e or more of F-gas must have it leak-checked and keep records for at least five years.

How often must refrigeration equipment be leak-checked?

In Great Britain, at least every 12 months from 5 to under 50 tCO2e, every six months from 50 to under 500 tCO2e and every three months from 500 tCO2e; each interval doubles where a leakage detection system is installed.

Which gases should emissions tracking software cover?

The GHG Protocol Corporate Standard, as amended in 2013, covers seven gases: carbon dioxide, methane, nitrous oxide, HFCs, PFCs, sulphur hexafluoride and nitrogen trifluoride.

What is the best emissions tracking software?

This site has tested no product and names no best.

Test the shortlist on your own sites: one refrigerant top-up, one boiler and one process line, with the demo questions on this page.

Is emissions tracking software the same as UK ETS software?

No. UK ETS is a specific regime for installations and operators, with a verified emissions report by 31 March and allowances surrendered by 30 April.

Some emissions tracking tools support it; the UK ETS software guide covers it in full.

Do F-gas rules apply in Northern Ireland?

Northern Ireland follows the EU F-gas regime under the Windsor Framework, not the retained GB text, and the EU has since replaced Regulation 517/2014. This page’s thresholds are the GB ones.

Do listed companies need to track Scope 1 by gas?

UK SRS S2 asks for gross Scope 1 emissions in tonnes of CO2 equivalent, on a comply-or-explain basis for listed companies from 2027.

Tracking by gas is how a tool gets there accurately.

Has this site tested any emissions tracking software?

No. The tests come from the GHG Protocol, the GB F-gas rules and UK ETS guidance, each cited; vendor words are their own.
